Thank you for accepting our invitation to speak at Data Center World Europe 2026!

The following speaker toolkit has been developed to assist you in the preparation and success of your session at this conference. We look forward to working with you and meeting you in Vienna!

Speaker Checklist

  • Check our agenda to ensure your speaker photo, title and biography are correct | Upon confirmation
  • Sign Speaker Agreement | Upon receipt
  • Book Hotel Reservation (check here for availability – link to our hotel map)
  • Session rehearsal call (to be scheduled by conference management) | w/c 28th September
  • PowerPoint slides due (if your session requires them) | 5th October

Stage Layout

Data Center World Europe features two stages (labelled Stage 1 and Stage 2 on the agenda). 15 minutes before your session please ensure you arrive at the correct stage, meeting at the AV desk at the end of the room where the stage manager will greet you and introduce you to other speakers. There will then be a reserved speaker table where you may leave any items and wait for the session to begin. For presenters, a podium will be available on stage to place notes. You will have the choice of using the podium or a hand-held mic.


Presentation Details

For presenters your session PowerPoint slides should serve as a guide for attendees during your session and as a post-conference reference. All slides will be reviewed beforehand to meet our vendor-neutral educational guidelines We recommend using the guidelines below to maximize the impact and engagement of your presentation

  • Avoid paragraphs or large chunks of text
  • Limit each slide to 8 bullet points or fewer
  • Utilise graphics and visual aids, no more than 3 per slide
  • Avoid font sizes smaller than 18pt
  • Keep backgrounds simple
  • Avoid company logos (except for the opening and closing slides)
  • Remember to spell check!

If your presentation includes a video, please embed it to your PowerPoint slide rather than include a link to click on as wifi may be unreliable. We recommend you send us the video as a separate file to ensure our AV team has it on hand should there be any issues.

Panel/fireside chat speaking

If you are joining a panel or multi-speaker session, please ensure you familiarise yourself with the session abstract, discussion objectives and fellow panellists before the panel rehearsal call. Come ready to share your suggestions and raise any concerns for the moderator to be aware of. Make sure you arrive 15 minutes before your panel discussion, the stage manager will introduce you to fellow panellists and the moderator to enable a short in-person discussion prior to the panel beginning.


Moderation

Panel discussions are 45 minutes (with some 30-minute fireside chats). Moderators should ensure that each participant has roughly even speaking time, keep the conversation on point, and reserve 5 minutes for audience Q&A. A session timer will be provided for you to manage timekeeping. If you reach the end of your panels allotted time do not engage in Q&A (or ask the stage manager for permission), bring the panel to a close and recommend audience members with questions gather outside the stage room to talk to speakers. There is a 5-minute gap between each session to ensure smooth transition of speakers.
